PMO Specialist
Job Description
Establish and maintain project management frameworks, support project teams, ensure governance and quality assurance, manage project tracking and reporting, oversee procurement and financials, support audits, and facilitate collaboration, communication, and onboarding/offboarding across technology projects and programs.
Responsibilities
- Establish and maintain a standard set of frameworks, practices, processes and templates for managing projects and programs consistently and efficiently.
- Assist with advising Project Managers and teams on the best use of Project Management disciplines and approaches and act as the first point of contact for any Project Management framework queries.
- Maintain and improve a robust governance process that captures, reports and escalates project status across all measurable project characteristics, informing Technology leadership in a timely manner.
- Manage consolidated view of all Technology projects including milestones/deliverables.
- Perform quality assurance on projects/programs in line with the defined Project Management Framework
- Track and govern resource utilization for project/program.
- Manage, execute and track procurement processes on behalf of projects.
- Assist Project/Program Manager in tracking the project financial forecast and actual and highlight any discrepancy and anticipated risk
- Assist Project/Program in developing and maintaining the progress report and various presentation material for management forum.
- Work with the Project/Program team to ensure all project deliverables are timely produced and stored in the designated repository. Support audit with internal and external auditor for Project delivery and control related.
- Support the Project/Program in the areas of project collaboration, communication, training, project tooling, resource management, change control and others as assigned.
- Conduct Project/Program staff onboarding and offboarding activities including physical and system access
Requirements
- Bachelor’s degree in any discipline with professional Project Management certification preferred.
- Minimum 3-5+ years of PMO work experience, 5+ years of experience in IT project management preferred
- Experience in Agile Delivery will be an added advantage
- Should have experience tracking deliverables and providing accurate and transparent reporting to management including drafting of materials for governance and leadership meetings
- Strong knowledge of project management methodology including management of high-level and detailed project plans, preferably experience in Microsoft project. Experience in Agile is highly preferred
- Motivated to maintain project standards and hold project management teams accountable for compliance and reporting requirements
- Strong issues resolution experience with excellent analytical, conceptual, troubleshooting and problem-solving skills
- A highly positive, motivate and proactive self-starter who is able to work in a team as well as independently. Solid time and take management skills; must be able to take full ownership and responsibility for own workload as well as manage competing and conflicting requirements
- Passionate about analysing PMO-related issues as well as building and improving existing processes
