Job Description: 

Role Summary

In this role at CelcomDigi, you are responsible for the monitoring, tracking and maintaining all budgetary matters related to Customer Experience Division (CXD) to include budget planning, budget utilization, optimization and reporting. You are required to ensure CXD complies to the budgeting guidelines and timelines as mandated by the organization, to plan, prepare and present the CXD budget in accordance with the requirements. You must track the utilization of the budget and ensure adherence to the approving authority, and to identify any potential risks or issues in advance with the resolution in place. You must work closely with all the departments and teams within CXD in capturing accurate, valid and precise budget movements, in the preparation and presentation of the budget reports on timely basis. 


You are also responsible for the management and maintenance of contracts within Customer Experience Division (CXD).This would include designing and maintaining proper governance process to document and keep track of all the contract details to ensure the contract owners within CXD are informed of the duration of the contracts, the contractual obligations of the contracts, and to ensure timely renewal or termination of the contracts. You will also serve as an internal counsel of contractual matters if other departments within CXD requires any assistance to understand the clauses and/or obligations as stated in the contracts. You will be working closely with Procurement Department to participate in the contract lifecycle from collating the business and technical requirements to drafting and negotiation with potential partners, to monitoring performance and ensuring compliance up to the completion of the contract. All these must be performed with the highest integrity, ensuring the organization's interests are protected. 

Responsibilities

  • You are responsible for all budgetary matters related to Customer Experience Division (CXD), ensuring compliance to the wider budgetary cycle, guidelines and policies set at the organization level. 
  • You are required to establish the budget planning process and work closely with all departments within CXD to prepare the budget, ensuring every item is captured and budgeted rightfully, and compiled in time for submission.   
  • You track, monitor and maintain the budget movements and utilization for CXD, in accordance with the approved budget. 
  • You are responsible to prepare the Budget Report on a timely basis, with accurate and valid data, ensuring all department leaders are aware and informed of the movement of their respective budget.
  • You are expected to know, understand and recognize every budget line item for CXD, the basis of how the budget has been arrived at, and the movement, as well as to know how to improve them. 
  • You are to establish the proper governance and documentation process to keep track of all the contracts entered into by CXD, ensuring full compliance to relevant laws, regulations and internal policies.
  • You must track, monitor and maintain all the contracts within CXD, with clear notification to contract owners of the expiry of the contract, and to facilitate renewal or termination of the contracts. 
  • You will work closely with Procurement Department, for any contract related matters for CXD. 
  • Any potential risk or non-compliance to budgetary and contract matters must be highlighted, with resolution and timeline in place. 
  • You work closely with the departments within CXD to resolve any discrepancies that may arise, track and report on the progress of these corrective initiatives. 
  • Coordinate and hold periodic meetings with key stakeholders in tracking budget movements and updating on contract lifecycle.
  • Ensure all CX Budget & Contract Management initiatives are aligned to the quality and brand persona of CelcomDigi.

Requirements

  • You have the experience of the management of financial budgets as well as managing and maintaining a wide-ranging list of contracts in any large consumer business.
  • You have demonstrated strong appreciation and in-depth understanding of budgetary cycles, processes and policies related to budgeting, as well as full understanding of financial reports and budget movements. 
  • You have managed and maintained complex budget for a huge division, comprising of over 100 resources with budget amounts over RM100 million.
  • You have demonstrated high integrity and ability to maintain highly confidential data/ info, e.g. contract details. 
  • You are disciplined in your way of working that you place importance in delivery of work on time and on quality with valid and accurate information.
  • You have demonstrated excellent stakeholder management with exceptional interpersonal and communication skills to influence and relate to people of all levels within the organization.
